Manage Firm

Manage Firm handles organizational membership and firm-level sharing: creating or joining a firm workspace, members, invitations and shared matters.

Purpose and best uses

Manage Firm handles organizational membership and firm-level sharing. It lets eligible users work with their existing Law Mind accounts to create or join a firm workspace, view members, manage invitations, and deliberately share matters with the firm. Use it when the question is who belongs to the organization and how its shared case work is administered. This is distinct from Firm Preferences, which stores personal defaults, and Matters, which contains the actual case-related documents, conversations, and notes.

The interface includes verified-email information, firm membership, pending invitations, and controls appropriate to the user's role. Firm owners and administrators have different responsibilities from ordinary members. For example, the current interface gives owners an ownership-transfer workflow and provides administrative invitation controls. A firm membership does not automatically change a person's subscription or expose all of that person's private research. Shared work is handled through the relevant matter-sharing mechanism rather than by assuming that joining a firm makes the entire account visible to colleagues.

How to use it well

Begin by checking the account's verified email and the intended firm. Creating a firm requires the prerequisites shown by the application, including appropriate access and a verified email. Sending verification messages or invitations also depends on email delivery being available. If the page says delivery is not connected, that status should be respected rather than interpreted as an invitation having been sent. Check pending invitations and the success messages to understand what the system actually recorded.

Treat Share with firm as a meaningful access decision. The interface explains that sharing a matter makes its contents available to the firm's Professional members and places its administration with the firm. Confirm the matter's identity and contents before using that control. Sharing is not simply adding a convenient label to a private folder. Similarly, removing a firm member leaves that person's personal account in place, while firm-owned shared matters have their own continuity. Understand those distinctions when onboarding or changing team membership.

Example and practical limits

A small practice might create a firm workspace, invite colleagues using their verified email addresses, and share selected matters that the team is authorized to work on. Each person continues to use an individual account. Private exploratory research can remain outside shared matters, while designated case work becomes available through the firm. If ownership needs to change, the existing owner can use the offered transfer process with an existing member, reviewing the resulting role change instead of assuming that changing a display name transfers responsibility.

Manage Firm is best used for intentional collaboration and administration. It is not an automatic firm-wide subscription purchase, a guarantee that every invitation will be delivered, or permission to share every client file with every colleague. Subscription status, firm role, and matter access are related but separate concepts. Review the actual membership and sharing state after a change, and keep sensitive access decisions aligned with the work each person should perform. The feature is most effective when it gives the organization a clear structure without obscuring which research is personal, which matters are shared, and who has the authority to administer them.

For a team handoff, explain both the firm role and the Matter access that the colleague should expect. Being listed as a member and being able to open a particular case workspace are different observations. Confirming both avoids unnecessary account changes when the real issue is a sharing decision.
